Author Instructions

If you have received a paper acceptance email from the TPC co-chairs, please use these author instructions to prepare your final camera ready paper.

Formatting checks are enforced in the submission phase for final manuscripts. Please allow extra time to fix any formatting errors and use PDF eXpress to generate a compliant file. Your final paper is planned to be included in IEEE Xplore for archival value after the conference. IEEE reserves the right to exclude an accepted paper from inclusion in IEEE Xplore if it is not presented at the conference. Please follow the following steps to finalize the camera-ready version of your paper. The deadline to complete the camera ready-submission is 30/04/2021 extended to 14/05/2021 for full papers and 10/06/2021 for demo papers and PhD Workshop extended abstracts.

The authors must mandatorily submit the PDF compliant file through PDF eXpress (Step 1) AND fill the Electronic Copyright Form (Step 2):

  1. Prepare in the IEEE double-column format using IEEE Conference
    Proceeding templates
    .

    1. For IEEEtran class in LaTeX, use the following as the first line in your LaTeX source file:

      \documentclass[10pt,conference,letterpaper]{IEEEtran}

      Note that with IEEE conferences the author affiliation is listed under the author’s name, unlike IEEE transactions.

    2. Proofread your source document thoroughly to confirm that it will require no revision. Do not add any page numbering, header or footer (other than the copyright info discussed below, step c). Remind the page limits: full papers (9 pages), demo papers (2 pages), PhD workshop extended abstract (2 pages).
    3. Add the copyright notice to the document. The appropriate copyright clearance code notice is to appear on the bottom left of the first page of each paper according to the following guidelines: https://www.ieee.org/publications/rights/copyright-main.html
      • For papers in which all authors are employed by the US government, the copyright notice is: U.S. Government work not protected by U.S. copyright
      • For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is:  978-1-6654-4108-7/21/$31.00 ©2021 Crown
      • For papers in which all authors are employed by the European Union, the copyright notice is: 978-1-6654-4108-7/21/$31.00 ©2021 European Union
      • For all other papers the copyright notice is: 978-1-6654-4108-7/21/$31.00 ©2021

      • LaTeX users can add the following lines just before \begin{document} for the copyright notice to show up (shown below is an example for the fourth case described above):

      • MSWord users can use: ‘Insert’ –> ‘Text box’, insert the appropriate copyright notice in the textbox, and place the box (without border) at the bottom left on the first page.
    4. Go to IEEE PDF eXpress Website (https://ieee-pdf-express.org/).
      • First-time users should do the following:
        1. Select the New Users – Click Here link.
        2. Enter the following:
          1. 52354X for the Conference ID
          2. Your email address
          3. A password
        3. Continue to enter information as prompted.
        4. An online confirmation will be displayed and an email confirmation will be sent verifying your account setup.
      • Previous users of PDF eXpress need to follow the above steps, but should enter the same password that was used for previous conferences. Verify that your contact information is valid.
      • Use IEEE PDF eXpress to check if your PDF file is Xplore-compliant, OR, else, you can use this site to convert your source files into an IEEE Xplore-compliant PDF file (e.g., for LaTeX users, create a zip file that includes DVI and your EPS figure files all together, and then upload the zip file to the system to convert into a compliant PDF file; for MSWord users, upload the Word file and let it convert and return a compliant PDF file). Further information on how to use PDF eXpress can be found at the following link: https://ieee-pdf-express.org/External/UsingIEEEPDFeXpress
      • Click on “Approve for collection” in PDF eXpress once a Xplore-compliant paper is generated. This will submit the camera ready to conference organizers.
  2. The first author of each accepted paper is required to sign the Electronic Copyright Form (eCF).
    First authors of accepted papers will receive an email with a user ID and password, as well as clear instructions on accessing the eCF to transfer their copyright to IEEE.
    IMPORTANT: Note that the camera-ready submission process is not complete until BOTH the IEEE Xplore-compliant file has been submitted through PDF eXpress AND copyright has been transferred.
